JOB SUMMARY:
The company presently an expanding development stage organization, positioned to move to commercialization stage upon successful completion of clinical development projects with lead products in oncology and potentially even non-oncology indications. Office manager will be responsible for office management including not only head quarter office but also future sales office consideration. He or she will work closely with Corporate affairs head and HR head to accommodate all necessary equipment for commercial launch and upgrading head quarter office. As such this important position will be responsible to identify/address necessary equipment with the internal stakeholders including global teams. This particular position will have to ensure smooth transition for any office change.

KEY RESPONSIBILITIES:
・Facilities/Building management including remote detailing equipment
・BCP/Securities system setting
・Office services related vendor contract management
・Supervisor for Temp contractor(GA)
・Reception/Visitors, office supplies/Food & Drinks and GM supports
・Point of Contact for all employees working offsite, especially MR, MSL, and Monitors
・Future preparation for rental work space/office (outside of Tokyo), rent-a-car (outside of Tokyo) and Intra-office mailing system
・Events/Meetings admin support such as generate official invitation, payment for KOL/participants, Taxi ticketing, and manage name list for symposia/medical education/explanatory meetings
・Periodically assess facilities mgmt. processes and make proposals for simplification and productivity improvements to supervisor and leadership
・Act within compliance and legal requirements as well as within company guidelines

QUALIFICATIONS:

・Bachelor’s degree required
Experience:
・At least 5 years office management experience (Pharmaceutical industry is a plus)
・Experience of working at small start-up company is a plus
Language Proficiency:
・Fluency in both Japanese and English is preferable
Other:
・Demonstrated strong communication & creative solution skills
・Ability to work with multiple functions in a complex environment
・IT literacy including SAP etc is plus
・High level of proactivity, flexibility and drive
